Association Sponsored Participants are the following: members of the Board of Directors (current and nominees); the president of each branch (or his/her proxy holder); branch services coordinators (current and incoming); and advocacy program officers. Invited guest speakers are also asked to register in this category.
If a registered Association Sponsored Participant is unable to attend and an alternate will take his/her place, please do not register a second time. Instead, as soon as possible, contact Dorianne Proulx or Melanie Hudson by e-mail at email@example.com / firstname.lastname@example.org or by telephone at 1-855-304-4700, so the registration records can be adjusted accordingly.
The National budget will pay directly the following costs for Association Sponsored Participants to attend the 2019 AMM: travel expenses by air or rail; hotel accommodations; and meals provided on site. Other eligible costs must be paid by participants and claimed for reimbursement after the event.
Those who are not sure about which days they should travel are encouraged to contact National Office for clarification and wait before booking tickets until they are certain of the schedule.
Federal Retirees VIP Travel Program Information
Hudson Travel Group (HTG) provides a VIP Travel Program to purchase airline or rail tickets for Association Sponsored Participants and to bill the cost directly to the National budget. Except in an emergency or where demonstrated to be cost-effective, National will not pay for subsequent changes, such as a re-scheduling fee.
Costs for spouses or other travelling companions are not covered by the National budget and must be paid to HTG by the individual upon making the reservation.
Extended travel may also be booked through HTG, with additional costs payable by the individual.
Aeroplan Miles or other travel program benefits will be awarded to the individual making the reservation, upon request.
We encourage everyone to use the VIP Travel Program. If you select “Air” or “Train” in the Travel section of the registration form, a representative from HTG will phone you within seven days. Federal Retirees' Travel Policy can be accessed on the Volunteer Information Portal and the allowances continue to be based on the National Joint Council Travel Directive.
As indicated above, Association Sponsored Participants who arrange their travel through HTG will have their plane or train ticket paid directly by the Association. After the AMM, these participants can claim other travel related costs, such as: travel between home and airport or train station, parking, meals while en route, incidental allowance, and shuttles to and from the hotel.
Those who don’t book through HTG will be reimbursed based on the least of:
· economy class air travel, such as Air Canada Standard (formerly called Tango), plus advance seat selection and one checked bag (if required) or equivalent type carrier service (to be booked as early as possible to take advantage of sales and/or reduced rates); *see note below
· train or bus transportation by the most direct route;
· rental vehicle fees, insurance, cost of gas and parking;
· personal motor vehicle mileage at the National Joint Council rate, with travel related costs; or
· actual costs incurred.
*In some cases, it may be more economical to book an Air Canada Flex fare, which includes advance seat selection and one checked bag. Remember that Canadian Armed Forces (CAF) members and veterans qualify for free checked bags with presentation of the Federal Retirees' CAF card and/or other specified identification.
The afternoon of Wednesday, June 19 will be dedicated to training. Association Sponsored Participants will be pre-assigned to both the Advocacy and Communications modules. Your sessions and locations will be printed on your AMM name badge.
In late April, every registrant will be sent an email with links to the mobile app and event website for access to the AMM documentation. To control costs, binders are no longer mailed in advance. All Electors (Directors and Branch Presidents or proxy holders) are entitled to pick up a binder at the on-site registration. They must request this option in the registration form. Please note that hard copies of the AMM documentation will be available on site only for those Electors who pre-ordered them.
Advocacy Program Officers and Branch Services Coordinators are not entitled to a hard copy of the AMM documents.
